A partner or an agency is a third party a property works with. This can be any type of company. Good examples are OTA (online travel agents), Tour Operators, Corporate accounts, Government Accounts, etc. By linking these accounts to Market Segment and a source it is possible to manage/control rates and have proper statistics.  But within E-hors, they are all agencies.

We have two classifications in defining a company. A company can be an agency or a Booker. In E-hors, the agency is the
company that pays the invoice. A Booker can be either a person within the company or can be a branch office of the agency. Make sure that the market segment has been defined before you start adding
agencies. 
Agency must be created first before you can create the Booker.

If Agency ABC is in the Philippines, and the same agency is in Malaysia. But the Philippines is paying the invoice. You don't need to create both as an Agency. Agency ABC (Philippines)  would be the main Agency and Agency ABC (Malaysia) is considered to be the Booker.


To Add

A. Partner/Agency

1. Click "Add new record".

2. Market Segment: Select the Market Segment of the agency/partner you are adding. A partner can only be assigned to one segment. But a Booker can have a different segment.

3. Category: Select Category.

4. Agency Name: Enter the complete agency Name.

5. Contact Person: This is your commercial alliance/management of your partner.

6. Address, Postcode & City ): Enter the full address. 

7. Country & State: Select the Country & State.

8. Region & Sub Region: Select the Region & Sub Region if your salespeople are working and assigned based on Region and sub-region.

9. Phone/Fax Number: Enter the contact & Fax number. 

10. Website & Email: Enter the website. & the Email.

11. Username & Password: If this is activated, it will allow the agency to book its own reservations.

12. Retype: Retype your password

13. Contract Check: By default is No.  If the agency has a status “contract check yes” E-hors will check the details of the contract and will also require authorization before the user can make a reservation.

14.  NKA: NKA stands for the National key account. This means that if there is more than one property, this agency will be added to all properties within the same country if the setting is set to NKA: YES.

15. Registration: This is the company registration number.

16. GST Exempted: Click yes if this company/agency/partner is Tax exempted. E-hors will not calculate the Vat if the Agency setting is GST exempted "yes".

17. Vat Number: Enter the tax Identification Number.

18. Last Check Vat: This was used in Malaysia during the time GST was implemented. This is the date when the company verifies the GST number of the company they are doing business with.

19. Agency Profile. Is a free text about the agency which will not appear on any external document.

20. Click Submit when you are done.



B. Booker

  1. Select the agency name where you want to add the Booker. 
  2. Click the next Tab "Booker".

      3. Click "Add New Record" and fill in the field completely.

      4. Click Submit when you are done.


To Edit 

  1. Select the agency name that you want to edit and click the next tab if you want to edit the details of the booker.
  2. Click the "edit" icon and start editing the data.
  3. Click "submit" when done. Click "Cancel" if you don't want to make any changes.


To Delete (deactivate)

  1. Select the Agency name that you want to deactivate, click the "deactivate" button.
  2. Are you sure you want to de-activate this record?
  3. Click "OK".


To Re-activate

  1. UN-tick the box “hide inactive” to show the inactive records.
  2. Select the Agency or Booker that you want to re-activate, click the "re-activate" button.
  3. Are you sure you want to re-activate this record?
  4. Click "OK".
